Install guide

Get it running in one sitting.

Everything you need before you download, what Windows will do when you run the installer, and where your shop or school data ends up. Read this once, then install.

  • Windows 10 or 11, 64-bit
  • You will see a Windows warning — it is expected
  • Data stays on your own machine

Two installers

Know which file you are about to run.

Each product has one Windows installer. The name on the download is the name you should see in your Downloads folder.

For shops and counters

RetailFlow

File
RetailFlow-Setup-v2.3.0.exe
Download
about 44 MB
Space needed
about 335 MB once installed
You need
4 GB RAM minimum

For schools

EduPort

File
SchoolPortal-Setup-v1.2.0.exe
Download
about 224 MB
Space needed
about 1.8 GB once installed
You need
8 GB RAM minimum

EduPort is the bigger install. It bundles its own browser engine so report cards and broadsheets print exactly the same on every machine. A modest staff laptop can run the till; give the school computer room to breathe.

Before you download

Three checks that save a support call.

  1. Confirm 64-bit Windows

Open Settings, then System, then About. Under Device specifications, System type must say 64-bit operating system. Windows 10 or 11 is required, and you need administrator rights to install.

  2. Make room for the app and your data

RetailFlow wants 1 GB free, 2 GB to be comfortable. EduPort wants 2.5 GB free, 5 GB recommended, because backups and photo media grow alongside your records.

  3. Back up what is already there

Installing over an existing setup keeps your data, but never upgrade a live record room without a backup you could restore from a second drive or a USB stick.

RetailFlow

What the till computer needs.

These are measured from the published build, not guessed from a spec sheet.

RetailFlow system requirements, minimum and recommended
What you need Minimum Recommended
Operating system Windows 10 or 11, 64-bit Windows 11, kept updated
Processor 64-bit, 2 cores 4 cores
Memory 4 GB 8 GB
Disk for the app about 335 MB about 335 MB
Free disk space 1 GB 2 GB, plus room for backups
Download size about 44 MB about 44 MB
Display 1366×768 A second screen for the customer or the reports view
Internet None needed to trade Broadband for cloud backup, the owner dashboard and billing
Other devices Works on its own Phones and laptops on the same network can open the till in a browser

Barcode scanning

Any USB barcode reader that types like a keyboard works immediately — the search box is ready for it. A webcam can also read codes on screen if you do not have a scanner.

Receipt printing

Use an 80 mm thermal printer installed as a normal Windows printer. RetailFlow prints through Windows, so there is no separate driver to hunt for.

Working offline

Trading continues when the network drops. The app needs to reach the internet again within 30 days to renew its offline grace period.

Where RetailFlow puts things

Your shop data is files you own.

Nothing about your sales history depends on our servers being up.

Database
C:\ProgramData\RetailFlow\pos.db
Encryption key
C:\ProgramData\RetailFlow\pos.db.key
Backups
C:\ProgramData\RetailFlow\backups\
Port
8080 on the shop computer

Move your backups off that drive. Uninstalling RetailFlow deletes the logs and backups inside its own program folder. Copy them to another drive or a USB stick first.

EduPort

What the school computer needs.

A report-card run is the heaviest thing EduPort does. Requirements below are set so that run finishes on the machine you already have.

EduPort system requirements, minimum and recommended
What you need Minimum Recommended
Operating system Windows 10 or 11, 64-bit Windows 11, kept updated
Processor 64-bit, 2 cores 4 cores, for result and PDF batches
Memory 8 GB 16 GB
Disk for the app about 1.8 GB about 1.8 GB
Free disk space 2.5 GB 5 GB, plus room for student photo media
Download size about 224 MB about 224 MB
Internet None needed to run the school Broadband for the parent and student portal
Browser Its own window opens on install Edge or Chrome if you prefer to work in a tab
Other devices Staff can work from the same network Parents and students use the hosted portal address

The school day does not stop

Admission, records, attendance and results all work with no internet. The 14-day offline trust only concerns syncing, not trading up your records.

One school per computer

Each install holds one school’s records, so a second campus or a second school gets its own install and its own address.

Report cards come out signed

Headteacher and staff approvals are captured inside the portal, and the printed broadsheet matches what is on screen.

Where EduPort puts things

Records, media and backups you can see.

Everything lives in your user profile, so a new technician can find it without a password from us.

Database
%APPDATA%\SchoolPortal\school_portal.db
Photo media
%APPDATA%\SchoolPortal\media
Backups
%APPDATA%\SchoolPortal\backups
Port
21069 on the school computer

Backups are encrypted and numbered. EduPort keeps the five most recent backup files, protected with AES-256-GCM. Restore one on a new machine whenever you need to.

Windows will warn you

“Windows protected your PC” is expected.

Neither installer is code-signed yet, so SmartScreen shows this blue screen on every machine, every time. It is not a virus alert. Two clicks get you through.

The first run can also take 10–30 seconds while Windows scans the bundled files. That is normal on both apps — give it a moment before you assume nothing happened.

  1. Download the installer and let the browser finish saving it.
  2. If the browser objects, choose Keep or Keep anyway. The names differ between browsers; the file is the one you just asked for.
  3. Double-click the file. The blue screen appears.
  4. Click More info — this is the click people miss, because it looks like a link and is small.
  5. Click Run anyway. Setup opens.

Keep your records safe

Three things to do before you install anything.

Your data is not in the program folder

Both apps store the database outside the installed files, so uninstalling does not erase your records. It also means reinstalling over an existing setup needs care — take a backup first.

Copy backups somewhere else

A backup that lives on the same computer as the data is not a backup. Move copies to a second drive, a USB stick, or the cloud backup on your plan.

Keep it on a network you trust

Both apps let other devices on the same local network open them, which is how a shop floor or a staff room works. Run them on a private network you control, not on open or public Wi-Fi.

If Windows blocks it outright

Some machines will not allow “Run anyway”.

A school or office computer managed by an IT policy — AppLocker, or a Microsoft Defender rule set by an organisation — can refuse an unsigned program no matter what you click. That is the policy doing its job, not the installer failing.

Two ways forward: ask your IT administrator to allow the file, or message us and we will walk you through installing on a machine you control. If you need a signed build for a managed estate, tell us — code-signing is on the roadmap and customer demand decides when it ships.

Verify the file you got

Check the download is the one we published.

Right-click the installer, choose Properties, then read the file version — it must match the version named on this page.

To go further, Windows can print the file’s fingerprint itself. Open PowerShell in the folder where you downloaded it and run:

Get-FileHash .\RetailFlow-Setup-v2.3.0.exe -Algorithm SHA256

Message us that string and we will confirm it against the release we published. Do the same for SchoolPortal-Setup-v1.2.0.exe.

Common questions

Answers before you ask us.

If your question is not here, it is a five-minute call to answer.

Why does Windows say the installer is not safe?

Both installers are unsigned, so Windows SmartScreen warns about them every time. It is not a virus warning. Choose More info, then Run anyway. Code-signing is on the roadmap, and until then the prompt is expected on every machine.

Does the app work without internet?

Yes. Both apps run on the machine you install them on and keep working when the network is down. RetailFlow needs to reach the internet within 30 days to renew its offline grace, and EduPort holds 14 days of trust with a hard freeze at 45 days.

Can I install EduPort on two computers?

One installation holds one school, which keeps a school’s records on one authoritative copy. A second computer is used for a second school, or arranged with us.

Is there a Linux version?

The published installers are Windows only, built for 64-bit Windows 10 and 11. A Linux build can be arranged on request, so tell us what your shop or school runs. Parents and students use a browser, and Chikwo Justice needs no installer at all.

What happens to my data if I uninstall?

The database is stored outside the program folder, so uninstalling does not delete it. RetailFlow does remove the logs and backups inside its own folder, so keep a copy of your backups somewhere else before you reinstall.

Do I need administrator rights?

Yes, to install. The installer writes to Program Files and ProgramData. After that, day-to-day use does not need admin rights.
